Collection Agent - Montreal (QC)

Oceanex is currently searching for a dynamic Collection Agent to join our Finance Department at the Montreal Office.  The incumbent is responsible to collect and secure payment from clients within terms in order to avoid financial risks.

 

Tasks and responsibilities

• Collect client accounts via telephone, e-mail, mail, or fax;
• Detect problematic accounts and recover funds by using available tools and resources, including communications with Commercial Staff;
• Verification of shipments in transit to ensure that funds are collected prior to release for cash clients or accounts with no credit margin established;
• Monitor the Accounts Receivable booking blocks;
• Detect and resolve collection issues stemming from other departments;
• Prepare Accounts Receivable reports and documents;
• Perform other duties, as assigned.

 

Qualifications

• Post-secondary diploma in accounting  or equivalent;
• Minimum of 5 years of experience in collection;
• Knowledge of AS400 (an asset);
• Working knowledge of MS Office (mainly Excel and Word);
• Bilingualism (English and French).

Payroll Administrator - Montreal, QC

We are currently looking for a dynamic person for the position of Payroll Administrator for our Montreal office.

Reporting to the HR Manager, the incumbent ensures pay preparation and processing for all Oceanex employees (excluding longshoremen) in conformity with Oceanex policies, guidelines and collective agreements, as well as legal requirements. This position also responds to employees’ questions and managers’ requests pertaining to pay matters.

Tasks and responsibilities

  • Prepare and process weekly, bi-weekly and monthly payroll for all unionized and non-unionized employees of the Company (excluding longshoremen);
  • Plan, organize and execute various technical and administrative processes of payroll as per required deadlines; ensure quality and accuracy of all operations to be processed;
  • Proceed with the opening and closing of employees’ files in Ceridian InSync payroll application as well as maintaining the information in those files;
  • Proceed with the opening and closing of employees’ files in the group benefits provider application as well as maintaining the information in those files;
  • Perform the year end process including the required preparation for the production of T4s and R1;
  • Update and verify the insurer monthly invoicing, ensure that the billed premiums match the recorded premiums in payroll system and if required, proceed with modifications;
  • Perform on a monthly basis various reports for the Finance department;  health tax, employer’s pension contributions and banks of hours; prepare the Fiducie Desjardins monthly report and its payment;
  • Perform journal entries at every payroll;
  • Complete annually data spreadsheets in regards to Defined Benefits pension plans as required by Oceanex pension plans Manager;
  • Perform other duties, when required.

Qualifications

  • College Degree in Accounting or Human Resources;
  • Minimum of 8 years of relevant experience;
  • Very good knowledge of computer and payroll management systems (knowledge of Ceridian InSync software is an important asset);
  • Good experience with year ends and T4s process;
  • Bilingualism (English and French).

Administrative Assistant, Crewing - Montreal, QC

We are currently searching for a dynamic Administrative Assistant, Crewing to join the Vessel Management Department located in Montreal.

Reporting to the Crewing Supervisor, the incumbent will be responsible to provide administrative support to this department.

Tasks and responsibilities

  • Perform administrative support duties for the Vessel Management Department in Montreal;
  • Maintain employees’ files; data entry, scan and oversee filing of various files in Amos and in physical employee files;
  • Assist in the preparation of various reports and documents including the translation and the formatting;
  • Assist in the recruitment process:  provide support in the publication of job advertisements for positions to be filled, internally or externally; print the resumes received and update resumes database; take appointments for interviews and medical appointments; assist in the preparation and attend Career fairs with the Crewing Supervisor;
  • Make travelling arrangements (flights tickets, hotels, etc.) for crews in accordance with Company policy;
  • Assist in coordination of training sessions for the crews;
  • Receive, review and prepare crew expenses reports for approval by the Crewing Supervisor;
  • As required, perform crew members’ payroll in the absence of the Payroll Administrator;
  • Greet the Crewing Department visitors;
  • Answer the Crewing Department phone line;
  • Perform other duties and special projects as assigned.

Qualifications

  • College degree in Administration or a related field, or equivalent combination of experience and education;
  • Minimum of 3 years of relevant experience;
  • Computer literate (good knowledge of Word and Excel and facility to learn new software);

Marine Superintendent - St. John's, NL

We are currently searching for a dynamic Marine Superintendent with strong technical, communication, leadership and management skills to oversee and manage all technical operations of our fleet of container and Ro-Ro vessels from St. John’s, Newfoundland.

Reporting to the Fleet Manager, this position is responsible for the daily operational readiness of our fleet of vessels. The successful candidate will assist with policy formulation and implementation and provide hands-on direction to line personnel on technical issues.

Responsibilities

  • Oversee and manage all technical operations of the Oceanex marine fleet;
  • Ensure that Container and Ro-Ro vessels are maintained in the most effective and efficient manner;
  • Ensure fleet compliance with respect to Classification, Flag State, environmental regulations and safety standards;
  • Actively monitor vessel operations, assess performance against standards and recommend corrective action, as required;
  • Prepare dry-dock specifications and actively supervise all dry-dock operations;
  • Manage budget development process and ongoing cost control;
  • Liaise with vendors, classification society and relevant regulatory bodies as required;
  • Communicate regularly with shipboard Vessel Management Team members;
  • Take an active role in vessel replacement and procurement projects;
  • Manage department staff including Captains, Chief Engineers, Marine Safety Manager, Assistant Fleet Superintendent and Purchaser;
  • Work in partnership with other department managers within Vessel Management and Operations;
  • Attend fleet vessels regularly (travel required).

Qualifications

  • Certified Marine Chief Engineer with minimum of 3 to 5 years experience as Chief Engineer;
  • Minimum of 3 to 5 years experience as Marine Superintendent or Superintendent;
  • Strong knowledge of Safety Management Systems  with demonstrated past experience in a safety driven environment;
  • ISM Certification is an asset;
  • Strong organizational and priority management skills;
  • Excellent decision making skills;
  • Excellent oral and written communication skills;
  • Computer literate (including ship management systems AMOS);
  • Bilingualism (English and French) is an asset.

This is a shore-based position but does require the flexibility to travel.

Manager – Credit, Invoicing and Collections - Montreal, QC

We are currently looking for a dynamic person for the position of Manager of credit, invoicing and collections for our Montreal office.

The Manager of Credit, Invoicing and Collections manages the invoicing and accounts receivable functions focusing on the credit approval process, data/invoice verification, and collection of outstanding balances.  He/she coaches, trains and supervises staff under his/her responsibility.  He/she establishes appropriate policies/procedures/objectives/KPI’s in order to monitor and manage all processes within tight deadlines.

Tasks and responsibilities

• Manage/prepare applications for client credit privileges to determine the possibility of allocating lines of credit; adjust existing customer lines of credit;
• Manage the processes to ensure all data concerning invoices are accurate and complete and all invoices are prepared on a timely basis; assist with customer-specific invoicing processes and reconciliations
• Verify current shipments in order to collect freight charges (prior to the arrival of the vessel) for customers on a cash basis or without the privileges of credit; proceed with verification of booking blocks;
• Assist with collection of client accounts and detect problematic accounts and manage the collection thereof;
• Act as a contact person with colleagues of other departments and as a link between team members by communicating and documenting objectives/KPIs, and policies/procedures and recommending viable solutions for the company, as required;
• Manage all documentation required for auditing purposes;
• Control month-end closing procedures and prepare monthly reports;
• Plan and assign tasks to staff and respect priorities/deadlines;
• Supervision and training of staff, with focus on continuous improvement;
• Perform other tasks, as assigned.

Qualifications

• College/University Degree or equivalent, with knowledge in accounting, invoicing and collection processes or equivalent combination of experience and education;

Safety & Security Coordinator - St. John's, NL

We are currently looking for a dynamic person for the position of Safety & Security Coordinator for our St. John’s terminal. This position is responsible to overall enhance the safety culture of the St. John’s terminal by working with unionized and non unionized staff to foster an enhanced relationship and education and assist the Manager of Safety and Security in all activities associated with the OHSS and Environmental programs.

Tasks and responsibilities

• Coordinate the planning and execution of internal and external training programs for unionized and non unionized personnel;
• Maintain an up to date database of completed training for unionized and non unionized staff;
• Assist departmental managers and supervisors in the completion of initial incident/accident reports;
• Conduct incident and accident investigations, as assigned;
• Facilitate and conduct safety and competency training for office, terminal and supervisory staff.
• Coordinate and conduct Safety and Security drills and exercises in support of Programs
• Respond to off site safety, environmental and compliance incidents when required;
• Support the management of Oceanex’s Hazard and Safety Recognition Programs;
• Conduct workplace inspections and internal audits of the OHSS system, as assigned;
• Prepare monthly OHS performance statistics (safety and worker competency training, Safety Behavior Observation Reporting, WHSCC claim information);
• Assist in managing workplace injury, disability and WHSCC case management (reporting, ESRTW Planning, monitoring);
• Provide advice and counsel to supervisory personnel on OHS procedures, standards and guidelines;
• Actively participate in the JOHS Committee activities.
• Research, recommend and complete revisions and enhancements to safety and security procedures and policies;
• Assist in the management and execution of the Oceanex Emergency Response Program;
• Assist in the management and execution of Oceanex Environmental Management Program (Land Based Operations);

Qualifications

• Post secondary education from a recognized institution with a science, trades, engineering or business background along with successful completion of a safety diploma or degree program from a recognized and accredited institution or a combination of work related experience and education;
• Formalized training in auditing of accredited management systems (an asset);
• Knowledge of provincial and Federal safety regulations;
• 2-3 years experience in an OHS position in an industry setting;
• Experience working in the transportation and cargo shipment industry (an asset);
• Experience working in a union setting;
